Monthly Bookkeeping Checklist for Small Business Owners

Clean bookkeeping is easier when it happens monthly. Waiting until tax season usually means missing receipts, rushed categorization, and less time for real tax planning.

Use this checklist to keep your books current and useful throughout the year.

1. Reconcile bank and credit card accounts

Make sure each account matches the statement balance. Reconciliations are one of the best ways to catch duplicates, missing transactions, and posting errors.

2. Review revenue

Compare current-month revenue to the prior month and the same month last year, if available. Look for unusual drops, spikes, or invoices that have not been collected.

3. Review expenses

Scan expenses for subscriptions, duplicate charges, large one-time costs, and items that may need owner explanation before tax time.

4. Save receipts and support

Keep receipts, invoices, loan statements, payroll reports, and other records organized. Good documentation supports deductions and makes future review easier.

5. Check estimated tax needs

If profit is increasing, estimated tax payments may need attention. Reviewing this monthly gives you more time to plan instead of reacting at year-end.

6. Send questions while details are fresh

Questions are easier to answer when the transaction is recent. A short monthly follow-up can prevent a messy year-end cleanup project.
